How the deck is built

The CCAO-F blueprint has seven domains, each with its published objectives. Each card on this page was written from the official Exam Guide version 1.0 (effective July 2026) and the objective it names, then checked against the guide on the date at the foot of the page. The deck is not exam content: nothing is recalled from a sitting, and nothing is drawn from the signed-in study chapters or the gated question bank. The allocation follows the official weights, so the heaviest domain, Output Evaluation and Validation, gets the most cards and the lightest, Troubleshooting and Optimization, the fewest.

What four things does an effective business prompt state?
The goal, the context Claude needs to reach it, the constraints the answer must respect, and the shape of the output you want, such as a table, a memo or a ranked list. Missing context is the usual cause of a generic reply.

Splitting a large request into ordered smaller steps, each with its own input and its own check, so Claude handles one bounded job at a time and you can inspect a result before the next step depends on it.

Reading the first output against the goal, naming the specific gap, and changing one thing at a time: more context, a tighter constraint, an example, or a different format. Compare the new output before changing anything else.

How does a brainstorming prompt differ from an analysis prompt?
Brainstorming asks for breadth: many varied options with judgment deferred. Analysis asks for depth: criteria, evidence and a reasoned conclusion. Using an analysis prompt for ideation narrows the options too early.

How should a research prompt differ from a drafting prompt?
A research prompt names the question, the scope or sources allowed, and how findings should be cited and organised. A drafting prompt supplies audience, tone, length and a structure to fill, then you refine the draft.

Define hallucination in a generated response
A fluent, confident statement that is not grounded in fact, such as an invented citation, statistic or quotation. It reads like a real claim, so confidence in the wording is never evidence that the claim is true.

Claude cites a specific subsection number in a summary. What do you do first?
Treat the reference as unverified until you have checked it against the authoritative text. Specific-looking details are where fabrication hides, and a wrong reference sent to a compliance audience is expensive to walk back.

Why is asking Claude to rate its own confidence not a validation step?
The rating is generated the same way as the answer, so it inherits the same blind spots. Validation needs an independent check: a source document, a calculation, a subject expert or a second data point.

A multi-part question answered only in part, a summary that skips a section of the source, and a recommendation that never mentions the constraints you gave. Judge the output against the original request, not against itself.

When does a Claude output need human review before it is used?
When it will reach customers, regulators or leadership; when it touches legal, medical, financial or personnel decisions; when an error would be hard to reverse; or when you cannot verify the facts yourself.

Look for one-sided framing, assumptions about a group, examples that all point the same way, and options left out without a stated reason. Ask for the strongest counter-view and see whether the balance changes.

Changing vocabulary, length, level of detail and emphasis while keeping every fact identical. An executive summary and an operations checklist can come from one source output, but they must never contradict each other.

An artifact for a document, code or anything you will edit and reuse; an inline reply for conversation and quick answers; structured data such as a table or JSON when the output feeds another system or a side-by-side comparison.

When is a Claude Project the right choice instead of a plain chat?
When the same instructions, files and context will be reused across many conversations. A Project holds them once; a fresh chat starts from nothing and makes you repeat the setup every time.

One that needs Claude to gather and synthesise material from many sources into a cited report rather than answer from a single prompt. It takes longer, so reserve it for questions where breadth of evidence matters.

Haiku, Sonnet, Opus: how do the three model tiers differ?
Haiku runs fastest at the lowest cost and suits high-volume routine work. Sonnet balances capability with speed for most business tasks. Opus is the most capable, for complex reasoning where quality outweighs cost and latency.

A team needs hundreds of short reply drafts a day. Which model tier fits?
The faster, lower-cost tier. Repetitive, straightforward work does not need the most capable model, and paying for it on every draft spends budget and time without improving the result.

Restart, summarise or persist: when does each apply to a long conversation?
Restart when the thread has drifted or filled with dead ends. Summarise when the essentials must carry forward into a fresh chat. Persist decisions and reference material in a Project or Memory so they outlive the conversation.

How can Claude help analyse the requirements for a new process?
Give it the raw inputs, such as interview notes, tickets or current procedures, and ask it to extract goals, constraints, stakeholders and gaps, then to list the questions still open. Treat the result as a draft to confirm.

Augmenting a workflow versus redesigning it: what is the difference?
Augmenting keeps the existing steps and inserts Claude at one point, such as drafting or summarising. Redesigning rethinks the sequence around what Claude can now do, merging or removing steps. Start with augmentation when the risk is unclear.

What belongs in an honest value statement about Claude for stakeholders?
The specific task it improves, the measured gain in time or quality, the limitations that remain such as verification effort and data restrictions, and who stays accountable for the output. Overclaiming erodes trust faster than a modest estimate.

By turning a goal into a sequenced plan with owners and risks, by comparing options against stated criteria, and by finding repeated manual steps in a described process that could be batched or templated.

The repetitive, well-understood task with clear inputs and a checkable output. It proves value quickly, is easy to validate, and teaches the team how to prompt before they take on judgment-heavy work.

Project instructions versus Project knowledge: what goes where?
Instructions carry standing behaviour: role, tone, format rules, what to refuse and how to handle uncertainty. Knowledge carries the reference material answers should draw on: policies, style guides, product facts. Do not paste reference documents into the instructions.

What makes a system-level instruction effective?
It is specific, ordered by priority, names the audience and the output format, gives a rule for missing information, and never contradicts itself. A vague line such as be helpful adds nothing the model does not already do.

When is a connector such as Google Drive or Gmail better than an upload?
When the source changes often or lives in a shared system that others maintain. An upload is a snapshot that goes stale; a connector reads the current version. Check access permissions before connecting shared data.

How do you keep a Project's knowledge from going stale?
Name an owner, date each source, review the set on a schedule tied to how often the underlying policy changes, remove superseded files rather than stacking versions beside them, and re-test a few known questions after every update.

Why should a Project include a rule for questions its knowledge does not cover?
Without one, Claude answers from general training and the reply looks as authoritative as a grounded one. An explicit rule, such as saying the source does not cover this, keeps the boundary visible to whoever reads the answer.

A spreadsheet holds customer names and account numbers. What happens before you upload it?
Strip or mask the identifying fields first. The trend analysis rarely needs them, policy on regulated personal data still applies to internal work, and an instruction to Claude about retention is not a substitute for the control.

What makes a use case inappropriate for Claude?
A decision where an unverified error harms people, a task that needs data the organisation may not share, work that must be attributable to a licensed professional, or anything the organisation's AI policy excludes.

What is a data sensitivity classification used for?
Sorting information by the harm its exposure would cause, typically public, internal, confidential and regulated. The class decides whether the data may be entered into Claude at all, and under which approved configuration.

Whose AI policy governs your use of Claude at work?
Your organisation's, alongside the vendor's usage terms and any regulation for your sector. Personal judgment fills gaps but never overrides an explicit policy, and when the policy is silent you ask its owner rather than assume.

Who is affected if the output is wrong, and can they contest it. Does the process disadvantage any group. Are people told when they are reading generated content. The answers should be recorded, not assumed.

The Associate role covers business and productivity work using built-in features. API integrations, agentic systems and enterprise architecture belong to Architects and Developers, and recognising that boundary is part of responsible use.

An output is generic and shallow. What do you check first?
Whether the prompt gave any context, audience or constraint. Generic answers almost always follow generic requests. Add the specifics, then look at model choice and format only if the gap remains.

Claude keeps ignoring one of your instructions. What is the likely cause?
Instructions that conflict, a rule buried inside a long block, or a rule stated once far from where it applies. Restate it next to the task, remove the contradiction, and test again in a fresh conversation.

After a weak result, how do you decide whether to change the prompt, the model or the process?
Change the prompt when the failure is missing detail or wrong format. Change the model when the task needs deeper reasoning than the tier can give. Change the process when the same error recurs across many prompts.

What does optimising a Claude workflow for efficiency look like?
Templating the prompts that repeat, moving standing context into a Project, matching each step to the cheapest model tier that meets its quality bar, and cutting review steps whose checks never find anything.

How to use the cards in a study week

Run the whole deck once a day for a week, unshuffled on day one so the domains stay together, shuffled from day two so the domain tag stops giving the answer away. Say the back before you flip; a card you can only recognise, not produce, is not learned yet. Pull the cards you miss into their own list and read the matching domain section of the CCAO-F cheat sheet, which holds the decision rules the cards compress, then work through the ten CCAO-F practice questions with the reasoning written out. What a flashcard cannot tell you

The exam reports a scaled score with a 720 cut and a percent-correct by domain. Knowing every card here says nothing about either, because the items are scenarios that ask you to choose between two defensible options on a stated constraint. Flashcard reviews are not measured answers, so they never move a readiness score on Cred Farmer; only measured answers do.
